Committee Descriptions
Administrator of the Year
This committee will review and update the SCAEOP Administrator of the Year Nomination Form, disseminate the nomination forms to the district directors and affiliate presidents, review and update the judging criteria, select judges, and compile the results to determine a winner. The chairman of the committee will be assigned by the incoming president of the association. The chairman will choose at least two members in good standing to serve on the committee.
Affiliation Committee
This committee will distribute affiliation applications to current affiliates for renewal and to each district director to be used when meeting with groups to form new affiliates, process the affiliation forms, and meet with office professionals who are interested in forming local associations or request members of the Executive Board and/or past presidents to assist these groups in the organization of their local association. The chairman of the committee will be assigned by the incoming president of the association.
Budget & Finance Committee
This committee will prepare a proposed operating budget to be presented to the Executive Board for approval at least sixty days prior to the annual meeting of SCAEOP. The budget will then be presented for approval to the membership in attendance at the annual meeting. Two committee members will be elected at the annual conference business meeting each year.
Bylaws Committee
This committee will review the bylaws and keep them current by recommending any changes necessary. The chairman will submit any proposed amendments in writing to the Executive Board for approval, mail copies of proposed amendments to all eligible voting members prior to the annual business meeting, and submit a copy of amended bylaws to the general membership. The chairman of the committee will be assigned by the incoming president of the association. The chairman will choose at least two members in good standing to serve on the committee.
Long Range Planning Committee
This committee will review recommendations from the membership and make recommendations to the Executive Board for new programs for the association and improved methods of carrying out existing programs. Two committee members will be elected at the annual conference business meeting each year.
Newsletter Committee
This committee will provide SCAEOP membership with a professional publication by including in the contents news and photos about SCAEOP meetings, articles written by educational administrators, news from affiliated associations, NAEOP information, and articles which promote professional growth for educational office professionals. The chairman of the committee will be assigned by the incoming president of the association. Two committee members will be elected at the annual conference business meeting each year.
Nominations and Elections Committee
This committee will prepare a slate of at least two names for each office to be filled. The slate will consist of the names for president elect, vice president, secretary and applicable district directors. After candidates have been selected, the committee should request biographical data from candidates and prepare the ballot. As soon as the ballots have been counted, the Executive Board should be informed of the results. This committee will also prepare ballots for the three committee elections at the annual conference business meeting using a different color for each ballot: Membership Committee, Newsletter Committee, and Nominating Committee. The chairman of the committee will be assigned by the incoming president of the association. Two committee members will be elected at the annual conference business meeting each year.
Office Professional of the Year Committee
This committee will review and update the SCAEOP Office Professional of the Year Nomination Form, disseminate the nomination forms to the district directors and affiliate presidents, review and update the judging criteria, select judges, and compile the results to determine a winner. Professional Standards Program Committee
This committee will promote the Professional Standards Program (PSP) of the National Association of Educational Office Professionals (NAEOP) through local associations of educational office professionals and in articles for the newsletter. The chairman of the PSP should have participated in and be familiar with the PSP of NAEOP and be able to answer questions submitted by SCAEOP members. The chairman is also in charge of a scholarship which is given to an active member of SCAEOP for continuing education in pursuit of a NAEOP PSP certificate. The chairman of the committee will be assigned by the incoming president of the association.
Public Relations Committee
This committee will be responsible for publicity regarding conferences/meetings, award programs and other special events of the association. This committee will send information to the NAEOP NES Connector and complete and submit the NAEOP Louise Henderson Nelson Award application. The chairman of the committee will be assigned by the incoming president of the association. The chairman will choose at least two members in good standing to serve on the committee.
Student Scholarship Committee
Each year SCAEOP shall select a scholarship recipient using guidelines and forms as approved by the Executive Board. The student scholarship committee will meet early in the year or as soon as possible after the new board takes office. Copies of the applications shall be provided to each district director. Following the deadline for receipt of applications, the scholarship committee shall meet and using the criteria for judging, shall select a winner and an alternate. As soon as the decision is made, the chairman of the committee shall notify all applicants in writing.
Ways & Means Committee
This committee works with the president to purchase a sellable item reflecting their year which can be sold at the annual conference. Additional Ways and Means endeavors may be tried but all plans must be approved by the Executive Board before any commitment is made. The Ways and Means Committee Chairman will also be the Conference Vendor Chairman. The chairman of the committee will be assigned by the incoming president of the association. The chairman will choose at least two members in good standing to serve on the committee.
